Position Title: Customer Care Representative
Department: Customer Care Center Reports To: After Market Sales Manager
Position Overview:
The position is responsible for providing administrative support for the Customer Care Center by performing a variety of duties, outlined below. This position will also be responsible for providing exceptional customer service and support to our customers, contractors and end users by answering questions, providing documentation and with scheduling service calls.
Overall objectives are to answer incoming service calls, create, update and maintain the Service Database, and support the Field Service Technicians.
Essential Functions:
  • Responsible for answering incoming service calls/e-mails/voicemails and creating initial service report and assigning a Field Service Technician to the call.
  • Schedule contractors for warranty service if Field Service Technician determines that a contractor must be dispatched to the site. Issue Purchase Orders and provide all necessary paperwork to contractor.
  • Schedule contractors for paid service calls. Issue Purchase Orders and provide all necessary paperwork to contractors.
  • Continue to monitor status of all service calls (both warranty and non-warranty). Follow up with customers, contractors, service technicians, etc. as necessary through completion of the service.
  • Process contractor invoices for both warranty and non-warranty service calls.
  • Run and distribute weekly and monthly customer reports.
  • System 21 / Traverse – be able to proficiently locate and enter necessary information.
  • Schedule start-ups and preventative maintenance visits per customer request.
  • Manage and maintain contractor Certificate of Liability Insurance (COI’s) log.
  • Follow up with customers and contractors on warranty parts RGA’s
  • Organize and maintain the Service Departments Deferred Revenue spreadsheet. Notify Service Supervisor when the account can be closed due to all start-ups, PM’s and extended warranties have been completed or have expired.
  • Use DTS provided equipment (computers, laptops, cell phones, etc.) to complete duties. Ability to effectively work with Microsoft applications (specifically Word, Excel & Access), such as create, modify and maintain. Written communication is grammatically correct and of a professional manner.
  • Up sell parts and services to Customers.
  • Have a strong customer focus for both Internal and External Customers.
o Internal Customers – Following rules and procedures within corporation when servicing the customers’ needs. Work cohesively with all departments throughout Dimplex Thermal Solutions and our sister companies.
o External Customers – Provide exceptional care to all customers.
  • Any other projects as assigned.
Principal Requirements for Position:
  • High School Diploma required. Associates Degree or higher preferred.
  • Two or more years of assistant, admininstrative, coordinator, or daily customer facing related experience required.
  • Strong written and verbal communication skills are required.
  • Above average proficiency in Microsoft applications.
Knowledge and Skills:
  • Excellent customer service skills.
  • Strong verbal and written communication skills.
  • Must demonstrate strong organizational skills.
  • Must be able to work well under pressure.
  • Must conduct oneself in a professional and positive manner at all times
  • Must be a self-starter with the ability to work with little or no supervision.
Physical Requirements:
  • Must be able to sit for extended periods of time at desk.
  • While performing the duties of this job, the employee is required to sit for long periods, stand, walk, use hands to finger, handle or fell, reach with hands and arms, stoop, kneel, crouch or crawl, talk, hear, taste and or smell. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

  • Must be able to lift, push or pull up to 40 pounds.

Work Environment:
Primarily works in well-lit, temperature controlled office in a fast paced changing organization. Occasional exposure to the manufacturing area with moderate noise, dust, seasonal heat and cold.
